RespondersAI LLC ("we," "us," or "our") is a limited liability company organized under the laws of the State of New York. This Privacy Policy describes how we handle information across all of our mobile applications and this website.
What RespondersAI LLC Collects and Stores
RespondersAI LLC may store a copy of content submitted through our Apps on our servers for the purpose of analytics and service improvement. This stored content is not linked to any individual user — we do not associate submissions with your identity, device, or account in any way.
We do not collect personal information such as your name, email address, or location unless you contact us directly. Information you send us by email is used only to respond to your inquiry.
This is an additional reason you must never submit PHI or PII through our Apps. Although stored content is anonymized on our end, we cannot guarantee that information submitted by users does not itself contain identifying details. You are responsible for ensuring any input is free of patient-identifiable data before submitting.
Analytics and App Performance
RespondersAI LLC collects anonymized, aggregated analytics data to understand how our Apps are used and to improve performance and reliability. This data is not tied to any individual user and does not include PHI, PII, or the content of your queries.
We use the following analytics services:
- TelemetryDeck — anonymized in-app usage and performance analytics. TelemetryDeck is designed to be privacy-first; data is hashed and cannot be traced back to an individual. TelemetryDeck Privacy Policy
- Apple App Store Analytics — aggregate download, usage, and crash data provided by Apple. This data is governed by Apple's privacy policy and is not linked to individual users by RespondersAI LLC. Apple Privacy Policy
- RevenueCat — used to manage Pro subscription entitlements. RevenueCat receives anonymous device identifiers and App Store purchase receipts to validate your subscription status. No personal health data is transmitted. RevenueCat Privacy Policy
We also retain anonymized records of App inputs for the purpose of improving our services. These records do not include any information that could identify you or any patient, and are not shared with third parties except as part of the analytics services described above.
Remote configuration. On launch, the App contacts a RespondersAI LLC configuration server to check for updated usage limits and feature flags. The request includes only your App version number and bundle identifier — no health data or personal information is transmitted.
Third-Party AI Providers
Some features in our Apps use third-party AI services to generate responses. When a feature relies on cloud AI, your input is transmitted to that provider for processing. RespondersAI LLC currently uses the following providers:

We may add, change, or remove AI providers as our Apps evolve. This page will be updated to reflect any material changes. We choose providers that maintain appropriate data handling practices, but you should review each provider's policy for full details on what they store and for how long.
Third-party AI providers may retain your input. When a query is transmitted to a cloud AI provider, that provider may log, store, or use your input under their own privacy policy — independent of and beyond the control of RespondersAI LLC. This is an additional reason you must never include PHI or PII in any query.
On-Device Processing
Where a feature uses on-device processing, that processing stays entirely on your device and is not transmitted to RespondersAI LLC or to any AI provider for that step.
AI Output Accuracy
AI-generated content may be incomplete, outdated, or inaccurate. All output is provided for informational reference only and must never replace your clinical judgment, your agency's protocols, or guidance from medical direction. Always verify App output against authoritative sources before acting on it.
Governing Law
This Privacy Policy is governed by the laws of the State of New York. Any disputes relating to this policy shall be resolved in the state or federal courts located in New York.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Your continued use of the Apps after any update constitutes your acceptance of the revised policy.
App-Specific Details
EMS Drug Reference — App Store
Text lookup. When you type medication information for lookup, that input may be transmitted to a cloud AI provider and a copy may be retained server-side as described in the global policy above.
Photo lookup — on-device OCR. When you photograph a medication, the App first performs on-device OCR to extract text locally. The image and recognized text are only transmitted to cloud AI if you explicitly choose to request a secondary photo analysis. Images are never transmitted.
PHI detection and redaction. Before any content is transmitted, the App displays a notice that input should not contain PHI, and uses automated detection to identify and attempt to redact areas that may contain PHI — such as names, dates, or identifiers. This redaction is best-effort and not guaranteed to catch all PHI. You remain solely responsible for ensuring no patient-identifiable information is submitted.
Voice input. Voice input uses Apple's speech recognition services to convert spoken words to text. Audio is not stored by RespondersAI LLC — only the resulting text is used as query input.
Local notifications. With your permission, EMS Drug Reference may send local notifications to your device — for example, shift-start reminders or re-engagement prompts. These notifications contain no medication information or patient data. You can disable notifications at any time in iOS Settings → Notifications → EMS Drug Reference.
On-device storage. Patient lookup history is stored in the iOS Keychain, which provides hardware-backed encryption protected by your device passcode, Face ID, or Touch ID. App preferences and settings are stored in standard iOS app storage. You can delete your lookup history at any time from within the App.
